Vestige Photobooth Pty Ltd
Effective date: January 2026
By engaging Vestige Photobooth (“we”, “us”, “our”), the client (“you”) agrees to the following Terms & Conditions.
1. Booking & Confirmation
Submitting an enquiry does not constitute a confirmed booking.
A booking is confirmed only once:
Availability has been confirmed in writing,
The agreement or invoice has been accepted, and
A 50% booking fee has been paid.
Once confirmed, the event date is reserved exclusively for you.
2. Payments
A 50% booking fee is required to secure your date. This fee is non-refundable.
The remaining balance is due no later than 21 days prior to the event date, unless otherwise agreed in writing.
Late payments will incur a $15 per day late fee from the due date until payment is received in full.
Vestige Photobooth reserves the right to withhold services if payment obligations are not met.
All prices are quoted in Australian dollars (AUD).
3. Cancellations & Changes
Cancellations
If the event is cancelled by the client, the booking fee will be retained.
Cancellations made within 21 days of the event may result in forfeiture of the full amount paid.
Changes
Any changes to event details (date, time, venue, experience selection) must be communicated as soon as possible and are subject to availability. Additional charges may apply.
4. Event Space, Access & Venue Requirements
The client is responsible for ensuring the venue provides:
A minimum clear space of 8ft × 8ft × 8ft
Access to a standard power outlet
If power access is not available, this must be communicated in advance so alternative arrangements can be considered. Additional charges may apply.
A stable environment suitable for operation
Unstable or limited network connectivity may affect digital delivery and functionality.
Please advise Vestige Photobooth in advance if:
There is no lift or ramp access
Equipment must be transported via stairs only
Parking is distant from the event space
This allows our team to prepare appropriately and ensure safety during setup and pack-down.
Backdrops are ideally placed against a wall. If this is not possible at your venue, please let us know ahead of time so suitable adjustments can be made.
Vestige Photobooth is not responsible for delays, incomplete setup, or reduced service quality caused by inadequate space, power access, network stability, or venue restrictions.
5. Set-Up & Pack-Down
Our team will arrive approximately 90 minutes prior to the hire period to allow sufficient time for setup and testing.
If earlier access or extended idle time is required due to venue restrictions, this may incur additional charges.
Pack-down will commence promptly after the hire period concludes unless otherwise agreed.
6. Props, Equipment & Client Responsibility
Props are included with all bookings. We ask that they are treated with care and returned in their original condition.
The client is responsible for any loss or damage to:
Photobooth equipment
Props
Backdrops
Printed materials
caused by guests or venue staff during the hire period. Any damage or loss will be invoiced and must be paid within 7 days.
Vestige Photobooth reserves the right to suspend service if guest behaviour poses a risk to people or equipment.
7. Weather, Safety & Liability
For outdoor events, the client must ensure appropriate weather cover and protection from hazards.
To the extent permitted by law:
Vestige Photobooth is not liable for incomplete setup or reduced operational time due to unsuitable conditions.
Vestige Photobooth does not accept liability for loss or damage to personal belongings or injuries unless caused by proven negligence.
Vestige Photobooth’s total liability is limited to the amount paid for the services.
Vestige Photobooth maintains valid Public Liability Insurance, available upon request.
8. Images, Media Use & Digital Delivery
Unless otherwise requested in writing prior to the event, Vestige Photobooth may use selected images captured during your event for marketing and promotional purposes across our website and social channels.
If you wish to opt out, please notify Vestige Photobooth via email before your event date.
A digital gallery link will be emailed within 48 hours post-event, provided all outstanding invoices have been settled.
The gallery will remain available for 6 months. We recommend downloading your images promptly, as long-term storage is not guaranteed.
9. Travel, Surcharges & Additional Fees
Events held beyond a 50km radius of Melbourne CBD may incur a travel surcharge.
Bookings on Victorian public holidays or between 24 December and 2 January attract a 15% surcharge.
Any additional charges will be communicated prior to the event where possible.
10. Privacy
Personal information is handled in accordance with the Vestige Photobooth Privacy Policy. By booking with Vestige Photobooth, you consent to the collection and use of information necessary to provide our services.
11. Governing Law
These Terms & Conditions are governed by the laws of Victoria, Australia.
